THE ROLE
In this role, you report to the Deputy Managing Director and will be at the forefront of supporting our agency. Your responsibilities will encompass crucial aspects of operations, to ensure the day-to-day of the business runs smoothly and efficiently.
This will involve, process improvement, resource management, administrative tasks, compliance & company culture. As a key member of our team, your contributions will directly enhance the efficiency of our resources and the overall satisfaction and success of our team.
WHAT WILL I BE DOING?
Company Operations
- Agency Comms – sharing general operational updates associated with role
- Platform & Services Management
- IT oversight & equipment management
- Managing finance requests from team
- Informing finance of new client onboarding
- Monthly employee engagement survey
- Company event planning & team days
- Travel & Expenses – Manage booking process through the Finance team
Resource Operations
- Resource Tracking – managing project specifics on our resource tracking platform and ensuring the team completes their timesheets every week by the deadline.
- Overseeing & communicating capacity concerns and trends, pulling reports.
- Forecast – plotting in project requirements against assigned team members to forecast capacity concerns and requirements with support from team leaders.
- Reviewing projects on Monday.com and cross-checking/updating them in the resource tracker.
- Issuing monthly retainer report to specific teams i.e., social, creative and scale
Team Operations
- Managing the agency culture calendar
- Leading the culture committee to action any deliverables and brainstorm ideas
- Organise Monthly team socials – coordinating with chosen employee for that month
- Support HR/IT with smooth onboarding of new team members
- Support HR/IT with smooth offboarding of leavers
- Organise new starter lunches/breakfast/drinks
ABOUT YOU
- The ability to work as an authoritative figure in a busy team
- Enthusiastic and positive approach to challenges
- Significant experience in managing multiple tasks simultaneously
- Resourceful and proactive in dealing with issues that may arise
- Solid understanding of budgeting
- Excellent written and oral communication skills
- A keen attention to detail
